Job Title: Operations and Projects Coordinator

Job Description:

We are seeking an Operations and Projects Coordinator to join our team. The ideal candidate will be a proactive and organized individual who excels at managing various tasks and projects simultaneously. This role involves coordinating special projects, assisting with purchasing and sourcing activities, handling certifications, and supporting various operational tasks within the organization.

Responsibilities:

Special Projects Coordination:

  • Lead and coordinate special projects aimed at improving operational efficiency and productivity.
  • Collaborate with cross-functional teams to ensure project goals and timelines are met.
  • Provide regular updates and reports on project progress to stakeholders.

Purchasing and Sourcing Assistance:

  • Assist in purchasing activities by researching suppliers, obtaining quotes, and negotiating prices.
  • Collaborate with suppliers to ensure timely delivery of goods and services.
  • Identify opportunities to lower costs by comparing and purchasing in larger quantities.
  • Certifications and Paperwork Management:
  • Handle CE certifications and ensure compliance with low-voltage regulations.
  • Maintain accurate documentation and paperwork related to certifications and compliance.
  • Factory Organization and Coordination:
  • Work closely with technicians and helpers to organize and optimize factory operations.
  • Coordinate schedules, equipment maintenance, and workflow to maximize efficiency.

Payroll Assistance:

  • Support payroll processing by verifying timecards, calculating wages, and ensuring accuracy.
  • Assist in resolving payroll discrepancies and addressing employee inquiries.

Inventory Management Support:

  • Assist in managing inventory levels to ensure adequate stock availability.
  • Coordinate with warehouse staff to track inventory movement and perform regular audits.

Gantt Chart Development:

  • Develop and maintain Gantt charts to visualize project timelines and dependencies.
  • Update Gantt charts with relevant project milestones, tasks, and deadlines as needed.

Requirements:

  • Bachelor’s degree in Business Administration, Operations Management, or related field.
  • Proven experience in project coordination or operations support roles.
  • Strong organizational and multitasking skills, with keen attention to detail.
  • Excellent communication and interpersonal abilities.
  • Proficiency in project management tools and software, including Gantt charts.
  • Familiarity with purchasing processes, inventory management, and payroll procedures is preferred.
