Neo Lab Growns is an exciting diamond manufacturing company that is currently looking for an experienced, organized assistant to our operations in the Toronto office. This position requires someone who can handle multiple tasks at a time and are able to do a range of tasks on any given day. We believe in rewarding your hard work, so a performance bonus will be given if you can provide the results to help grow the office.

Our clients are businesses that make or sell any kind of diamonds or jewelry. We offer a decent salary to start and there is an improvement for a suitable candidate.

This position allows you to work from anywhere as you will be supporting the operations of our office in Toronto, Canada. You do not have to physically be present at our manufacturing facility in Surat.

Duties and Responsibilities

The duties and responsibilities of an Admin Assistant to the small businesses are spread across the many aspects of B2B sales and distribution, dealing with both business clients and retail if any.

The position underpins senior management’s efforts with clear communication, conscientiousness, and seamless administration to maintain and grow the company’s operations in Canada and the USA.

  • Act as a key, informed contact for clients while providing reliable and timely resolution to inquiries
  • Maintain and coordinate calendars, orders, shipments, etc. prepare estimates, invoices, and shipping labels
  • Inventory management and maintenanceCoordinate and prepare the company’s marketing activities such as social media content, email list and content, direct mail list, and content and communication pieces
  • Create and Maintain google sheets as per requirement
  • Prepare and file all day to day transactional paperwork
  • Organize and maintain filing systems, archives, and electronic files
  • Track and process invoices, expense reports, and business credit cards
  • Coordinate and prepare company’s marketing activities such as social media content, email list and content, direct mail list, and content and communication pieces

Skills & Attributes

  • Ability to anticipate the needs and urgency of the Manager and respond to requests with time frames given and with minimal supervision
  • Dedicated to attaining a full understanding of the business and willing to put in extra time and effort to build their knowledge and experience
  • Troubleshoot problems and think critically to resolve issues
  • Follow instructions thoroughly and work well as part of a team with great interpersonal skills
  • Strong written and verbal communication skills
  • Strong attention to detail and adopt diligence across all activities
  • Highly organized and exceptional self-management skills, especially when meeting deadlines and working to strict schedules
  • Ability to work in a fast-paced environment, respond to quick turnaround times, and take initiative
  • Retain a ‘can-do attitude and positive mindset

Experience

  • Experience in administration
  • Expert knowledge of Microsoft Office (Word, Excel, PowerPoint) and GSuite
  • Experience in using Quickbooks
  • Experience in data entry, reporting, and workflow monitoring is desired
