ACADEMIC ADMINISTRATION :

  • Coordinate with HOS, Asso. Dean & Deans to ensure to complete the work assigned for School Program Office
  • Coordinate with all the Coordinators & Assistants of all the schools under respective purview for completion of work assigned for them
  • To arrange and execute Parents Meeting & keep a record of it
  • To compile the SOPs for the work assigned for Program Offices
  • To coordinate to compile the Academic Calendar.
  • Prepare Weekly / Monthly, Trimester & Yearly MIS Reports
  • Coordinate for faculty feedback & record keeping
  • To maintain record of academic/ administrative approvals
  • To maintain the record of BOS, BOF and academic council meetings
  • To submit proposal for starting new program, change in intake, closing of existing program to the Registrar office
  • To get the academic and admin. related information on website
  • To coordinate with students for due fees as per fees schedule and reconcile with Accounts and Finance department.
  • To maintain course book (syllabus) copy on year-on-year basis
  • To issue monthly attendance defaulter letters
  • To coordinate with PhD scholars for periodic progress report and presentations.
  • To ensure smooth functioning of visiting faculty appointments, documentations and remuneration process
  • To administer academic hold in ERP for student with attendance, disciplinary issues
  • To verify and confirm students information, promotion, demotion and other related activities in ERP
  • Coordination with respect to accreditation, rating & ranking related work for NBA, Govt. authorities, UGC, AICTE, NIRF, various ranking bodies etc. with IQAC Cell & Registrar Office.
  • To ensure students updation, promotion, demotion activities in ERP
  • To ensure required updation is done for smooth functioning of academic activities through ERP
  • Coordination with respect to accreditation, rating & ranking related work for DHE , NIRF, AICTE etc. with IQAC Cell & Registrar Office.

ERP :

  • To ensure students updation, promotion, demotion activities in ERP

EXAMINATION :

  • Timely submission of attendance and Internal Continuous Assessment [ICA] report at the end of each trimester to the examinations department
  • To verify result analysis reports of Internal Continuous Assessment [ICA] and Term End Exam. [TEE] - program wise, course wise, & record the rankers information - yearly.

DOCUMENTATION :

  • Drafting of Circulars / Notices for students, staff members and arrange to circulate to the concerns.
  • To coordinate with Admission department from time to time
  • Mentoring / counselling / Grievances redressed support to students
  • To coordinate, prepare budget for various students activities like industrial visits, rural immersion, national / international tour/ various events/ FDPs/ seminar/ workshops/ conferences etc.
  • To maintain the records of approved fees, program intake, and addition/ deletion of the programs/ Scholarship/ concession etc.
  • To prepare the notes for Requisition school level requirements such as Stationery, Equipment, consumables & Refreshments etc & follow-ups for procurement
  • To ensure all the Administrative Offices are functioning as per the standard operating procedure.
  • To prepare and submission of Annual Report
  • To collect the reports from the Coordinators of the schools and compile the consolidated report as required by the University authorities from time to time

HR :


  • Calculate full time faculty requirement as per the workload/ norms in consultation with HoS and Dean.
  • Calculate visiting faculty requirement as per the workload/ norms in consultation with HoS and Dean & obtain necessary approvals.
  • To assist recruitment process initiated by HR
  • Act as assessing authority for AO non-teaching staff
  • To coordinate and maintain the record of Leave, Vacation and LWP etc.
  • To facilitate appraisal process for Teaching & non-teaching staff of all schools.

MISCELLANEOUS WORK :


  • Any miscellaneous work allotted to your office by the University authorities from time to time
  • To coordinate and support for various social initiatives of University/ MAEER
  • To coordinate for student election process ( CR, LR & Student Council )
