Job Title: Tender and Purchase Coordinator

Job Summary:

The Tender and Purchase Coordinator plays a crucial role in managing the tender process and coordinating procurement activities for embedded application development projects. This position involves evaluating public tenders, preparing and submitting quotes, and facilitating the procurement of materials and components from both domestic and international sources. The Coordinator will work closely with project teams, vendors, and e-commerce platforms to ensure timely and cost-effective acquisition of goods required for project execution.

Responsibilities:

  • Review and evaluate public tenders to assess suitability for the company’s expertise and capabilities.
  • Prepare and submit quotations in response to tender invitations, ensuring compliance with project requirements and deadlines.
  • Coordinate with internal stakeholders to gather necessary information and pricing details for tender submissions.
  • Follow up on submitted tenders to address queries, negotiate terms, and secure contracts.
  • Upon receipt of purchase orders (POs), analyse project requirements and determine the items to be purchased.
  • Source and procure materials, components, and equipment from various suppliers, including domestic vendors and international e-commerce platforms.
  • Conduct market research to identify potential suppliers, compare prices, and obtain competitive quotes.
  • Negotiate pricing, terms, and delivery schedules with suppliers to ensure cost-effectiveness and timely delivery of goods.
  • Coordinate with logistics and shipping providers to arrange for the transportation of purchased items to the project site.
  • Maintain accurate records of procurement activities, including POs, invoices, and supplier contracts.
  • Monitor inventory levels and track the status of orders to prevent delays and shortages.
  • Collaborate with project managers to forecast procurement needs and develop procurement plans for upcoming projects.
  • Stay informed about industry trends, market dynamics, and regulatory requirements related to procurement and supply chain management.

Requirements:

  • Degree in business administration, supply chain management, engineering, or a related field.
  • Proven experience in tender management, procurement, or purchasing roles, preferably in the technology or engineering sector.
  • Familiarity with public tender processes, contract management, and vendor selection criteria.
  • Strong negotiation skills with the ability to secure favourable terms and pricing from suppliers.
  • Excellent communication and interpersonal skills, with the ability to liaise effectively with internal teams and external stakeholders.
  • Proficiency in using procurement software, e-commerce platforms, and MS Office applications.
  • Ability to work independently, prioritize tasks, and meet tight deadlines in a dynamic environment.
  • Attention to detail and accuracy in handling procurement documentation and financial transactions.
