Urgently Looking for - EA to MD - Gandhinagar, Gujarat

DIVISION: MD CELL

DEPARTMENT: CORPORATE CENTER

SUMMARY:

This position will be one point of contact in Plant MD Cell. Direct co-ordination with all the respective internal and external customers. Import and export documentation management. Management of branding related activities of company. MD desk management.

Role’s & Responsibilities:-

1. Administrative Responsibilities:-

· Managing of Travelling & Accommodation

· Received and welcomed of the Guests / VIP / Customers / Visitors and provide
hospitality at Gandhinagar Plant.

· Maintain on all Department’s decorum according to HR Policy.

· Maintain discipline, trusting relationship and good working atmosphere of
Gandhinagar Plant.

· Ensure the premises area of Gandhinagar Plant with Hygiene and sanitized.

· Preparing and maintaining monthly and yearly training MIS of all locations.

2. MD Hospitality & Assistant Supervisory Responsibilities:

· To organise visit plan and implement hospitality for the MD during visit.

· To plan travel arrangements for the MD.

· Timely Execution & completion of task given by MD in stipulated time period from the concerned Dept.

· Updating of Calendar of MD with Planning & Forecast.

· Organize online meetings as per requirement of MD in Zoom, Microsoft Meet and Google meet.

· Prepare and schedule induction program and co-ordinating for smooth execution with respective HOD / functional head.

· Prepare MOM of each meeting of MD and follow-up accordingly time to time.

Supervisory responsibilities:-

1. HR Assisting Supervisory Responsibilities:

· Ensure to follow HR Policy at all level.

· Follow-up F & F Status on weekly basis.

· Review of issue of Assets (For HO & Branches only) for approval of MD.

· Co-ordinating for training programmes as per the calendar and implementing training programmes for all location.

· Introduction of new joiner to all employees on floor and updating to concerned with code of conduct.

· Ensure to all activities and implementing as per the Engagement Calendar by the HR.

· Collecting feedback from employees on improving the effectiveness of these engagement activities.

· With HR in collating and compiling all appraisal review ratings and remarks and preparing MIS for appraisal.

· Responsible for assisting in preparation and distribution of appraisal letters to employees.

· Working closely with Factory HR and implementing all policy related aspects.

2. Pan India Branch Coordination Supervisory Responsibilities: Indirect

· Ensure to get feedback from branches regarding (Expense, Room Rent, F&F, Joining, PCB and Stock Statement).

· Organised zoom meeting with branches on monthly basis for all related issues.

· Maintain all Branch separate file with all details i.e. Name of all Service Engineers, Pay scale, Experience, System Supplied, UW/OW, AMC details, Tec wise data etc…

· Collect weekly MIS from all branch In-charge of PAN India on timely basis.

· Approval of Trip Request for all branch In-charge by tour /visit in 48 hours advance.

· Weekly communication with all Branch In-Charge of any issues.

3. Department wise Coordination Supervisory Responsibilities:

4. Additional Responsibilities:

· Making of MOM of each meeting and follow-up the task as committed date and submit feedback to MD.

· Attend daily Morning Meeting conference with all HOD of HO (Regarding – Any burning issue, any obstacles faces (Office related malfunctions / admin issues) take opinion / debate on the matter with HODs and discuss with Boss and take decision).

· Org a meeting when any Production Planning received from RO. (Meeting members – Purchase, Production & Store).

· Keep all records of 02 years of ISO Audit file of both Plant (VN &GN). with jointly working with ISO Consultantas a Deputy M.Rfor Gandhinagar& Visnagar factory Locations.

· Ensure the documentation are to be maintained by all Dept as per ISO Audit.

· Analyse to Forecast Planning of production (which received from Sales-Marketing Staff) of each two months with execution of orders and submit report to MD.

· Review of MIS report of each Department (Purchase, Production, Stores, Sales-Support, HR –Gandhinagar, QC, IT-QC (Software), QC (Hardware) and submit onward to MD.

· Create Zoom Meeting and Micro Soft Meeting schedule for organising meeting with branches, customers or etc. and made MOM accordingly.

Decision-making responsibilities for this position:

· Timely Completion of all tasks, which dedicated by MD.

Compensation & Benefits:-

  • Starting Salary range in between Rs.35,000/- CTC to 50,000/- CTCper month
