Job Title-Quality Assurance

Experience-1-5

The QA Officer is a key appointment in the Examinations Team and takes a lead in the development,

implementation, monitoring and review of QA procedures. The QA Officer is also responsible for ensuring

the administration and accurate and appropriate recording and storage of QA records and associated

documentation. He / She will also provide administrative support to the department and the QA

structures of DBS as required.

This is a position of responsibility that requires the ability to work autonomously and the confidence to

provide sound direction and guidance to colleagues, both junior and senior, in respect of quality assurance

requirements and procedures.

Key Responsibilities

Support the Assessment and Regulations Manager to ensure the development of fit for purpose

QA policies and procedures and monitor implementation and effectiveness of same;

Coordinate and oversee the process for learner complaints, Academic Impropriety etc., and

ensure correct processes are implemented in this regard in line with the DBS Quality Assurance

protocols;

Act as Secretary to Academic Board and/or designated sub-committees;

Manage administration associated with New Programme Validations and Programmatic Reviews,

including logistics management, note taking, liaising with relevant Academic Faculty and panel

members and working with relevant Chairs of panels in the discharge of their duties;

Act as desk reviewer for all programme validations and reviews;

Support the institutional review process and the completion of institutional self-evaluation;

Implement the annual Quality Assurance Handbook evaluation and review process;

Manage the process of ensuring the accuracy of information received and the communication of

same post validation / review process;

Ensure the Academic Systems Manager is notified of new programme validations or changes to

validated programmes for setting up the programmes on the Student Management System

Liaise with the Academic Systems Team for the management of the Curriculum set up on the

Student Management System. Ensure that the programmes are accurately uploaded onto the

Student Management System as per the Approved Programme Schedules;

Undertake an annual audit and reconciliation of active programmes for notification to QQI;

Establish, monitor and maintain a central library of documentation pertaining to the activities of

the academic affairs department and ensure the consistent application of a robust version control

process;

Act as a point of contact and communication conduit with validating bodies as required;

Provide guidance in the development, implementation, monitoring and review of QA procedures,

including in developing and delivering training and information sessions for staff;

Keep an accurate record of all approved Programme Schedules and dates in which they are due

for their next review;

Maintain the External Examiner Register, and liaise with External Examiners as required and

appropriate, including supporting the external examiner induction process;

Assist the wider Academic Affairs Team in the completion of administration where required and

specifically support the assessment and regulations team in the completion of team

responsibilities;

Assist with graduation and student registration;

Any other such duty as deemed commensurate with the role.
