Do you have an eye for detail and great communication skills? Would you like to work in a fast-paced environment like Publishing? We are now looking for an Associate Content Project Manager to join our Major Reference Works team. The team sits within our book division and will enable you to get a true insight into how Elsevier publishes books.

You will manage the development and production of multi-volume comprehensives and encyclopedias and Reference Collections, handling new and updated content as part of a global development and production team. Furthermore, you will have regular communication with internal and external contacts regarding queries and ongoing activities.

You will have a strong eye for detail and be able to quickly learn Elsevier’s databases and internal systems. Strong communication, organisation and customer skills are required to be successful in this role.

You will be joining an enthusiastic team, reporting to a Senior Content Project Manager.

Your responsibilities

Under the direction of and in collaboration with the Content Project Manager for assigned projects:

  • Dealing with correspondence from authors, editors and suppliers handling queries and negotiating deadlines.
  • Attending project meetings with internal colleagues and external Editors, participating in and contributing to those meetings in collaboration with the CPM/SCPM.
  • Working with the CPM/SCPM to organise the Content Finalisation Meeting for MRWs.
  • Email and telephone chasing throughout all stages of the publishing process to ensure schedules are adhered to.
  • Coordinating the invitations process to authors and the contracting process, and creating and disseminating other project specific information.
  • Setting up the transmittal process and transmitting articles into production together with supplier instructions.
  • Chasing authors regarding their progress during the proofing phase and maintain contact with them as the schedule dictates.
  • Monitoring the proof corrections from authors and editors, and ensuring the proof corrections process flows smoothly as per the schedule.
  • Setting up and maintaining individual project systems (e.g. submission system, spreadsheets and internal databases), tracking content at every stage of the process and generating reports to assess project status.
  • Organizing the payment of editor fees and expenses throughout project.
  • Setting up and coordinating the author payments process with Payments team in Chennai, monitoring progress and problem-solving, answering any queries as required.
  • Dealing with permissions queries, as required, with the Permissions team.
  • Arranging for e-offprints, ScienceDirect access and gratis copies to be sent out (as required by contracts), and where required, assist with the outsourcing of such tasks with external suppliers.
  • Notifying authors about publication of their article in the Reference Collection and/or MRW.
  • Resolving any outstanding payment issues and issuing final payment letters.
  • Ad hoc tasks for the Content Project Manager, Senior Content Project Manager, and Production Manager as required.
