Jubilant Pharma Limited is a global integrated pharmaceutical company offering a wide range of products and services to its customers across geographies. API portfolio focusses on Lifestyle driven Therapeutic Areas (CVS, CNS) and targets complex and newly approved molecules. The company is the market leader in four APIs and is amongst the top three players for another three APIs in its portfolio helping it maintain a high contribution margin. The manufacturing location at Roorkee, Uttarakhand is state of the art facility and is audited and approved by USFDA, Japan PMDA, UK MHRA, TGA, WHO and Brazil ANVISA. This business focusses on B2B model for EU, Canada and emerging markets.

Both manufacturing units are backward- integrated and are supported by around 500 research and development professionals based at Noida and Mysore. R&D works on Development of new products in API, Solid Dosage Formulations of Oral Solid, Sterile Injectable, Semi-Solids Ointments, Creams and Liquids. All BA/BE studies are done In house at our 80 Bed facility which is inspected and having approvals /certifications from The Drugs Controller General (India) and has global regulatory accreditations including USFDA, EMEA, ANVISA (Brazil), INFRAMED (Portugal Authority), NPRA(Malaysia), AGES MEA (Austria) for GCP and NABL, CAP accreditations for Path lab services.

JOB DESCRIPTION

Job Context:

Responsible for all client collaborations management and related internal processes for supporting Strategic & operational activities for the execution of client business with in the R&D facilities with maintaining internal compliances.

Challenges:

  • Operational processes implementations & control via collaborating with internal Functional & business heads.
  • Client process implementations & control with bring common understanding among department heads involved in various operations in the R&D unit.
  • Work is heavily dependent on Inter Department and people coordination & also client coordination for each and every task. Assembling information for completing the task whilst taking care of compliances of process, timeline for strategic, financial, client timeline, statutory implications. Swift Decision making & solution deriving on every day basis.

3, KEY ACCOUNTABILITIES:

Accountabilities Scope of work


  • Project work:
  • Discuss project details with the team and ensure Project initiation activity once a project is confirmed from Business team.
  • Discuss essential points in kick off meeting & monitor scheduling of project telecons. Take feedback form PM attendees on key observations and pass to management & stake holders time to time.
  • Discuss with finance/BD/management any client contract Queries/concerns to have it aligned with client.
  • Monitor team’s Cross departmental functioning for project work across different R&D sites.
  • Help team to prepare client customized trackers & project data sheets for effective Project tracking of timeline & deliverables depending on project nature. Regularly discussing & raising & helping to solve concerns in discussion with Functional & management heads.
  • Ensuring & doing effective communication with client in discussion with technical team & senior team mates with external and internal stake holders (Client, finance, SCM, logistics, technical, QC, IPR, BD) for project needs.
  • Ensuring & coaching team on documenting relevant points with client & internal stakeholders for process adherence & audit record keeping.
  • Managing client visits of existing collaborations for effective meeting by coordinating inputs from key stake holders & arrangement in the facility visited.

    • Training & time to time monitoring the team for shipment management to client.
    • Identifying the process requirements & adding to it to minimize slip ups.
    • Training team and ensuring adherence for daily MIS for shipments & future planning.
    • Monitoring the intimation of tracking details to client. Ensuring that alerts are effectively raised with client/logistics team for speeding resolution in case of shipment hang ups.
  • In bound for project work from client (import)
    • Coordinating with clients, internal stake holders & logistics team for import documentation requirements for any incoming compound from client.
    • Enable quick decision making on import shipment form client by bringing internal logistics & client on same page. Intimating for pick-up of shipment from client end and coordinating for final documentation from client.
    • Ensuring that team keeps a track till delivery & Raises alert with client/logistics team for speeding resolution in case of shipment hang ups, Maintains daily MIS for shipments

  • Financial Support & Audit
    • Supporting & monitoring the process of project work billing reconciliation.
    • Coordinating with client for billings for FFS work as per delivery & negotiating in case of additional efforts.
    • Ensuring FTE billing as per contracted terms.
    • Ensuring proper & timely collation raw material & consumable segregation for project billing. Time to time raising & updating the process in discussion with stake holders.
    • Coordinating project closure formalities by intimating to Finance, IPR, BD, IT & functional teams. Also, closures in various allied systems.
    • Keeping a track on project delivery & maintaining the delivery details
    • Collating the assumed billing data upon completing of project work/as per agreement terms/communication with client & discussing with senior team mates.
    • Intimating finance/BD for customized client specific terms for invoice formats/enclosures.
    • Record keeping of all key communications & documents on billing for Audit purposes.

  • Process maintenance
  • New process initiative/support
    • Providing planning & development inputs in development of different IT systems for R&D unit & also suggesting improvements in existing systems for betterment of processes.
    • Facilitate customized & mass trainings for process tools implementation across the entire Unit.
    • SOP & MIS maintenance for project management activities – keeping a check on team on appropriate updation & circulation for senior review time to time as per schedule.
    • Ensuring day to day compliance issues are managed by team and discussing time & again with stake holders to keep the protocols in place.
    • Managing client eroom systems, internal interfaces access though IT & regular updation of the same. Also facilitating training of internal & client team on new/client based processes.

  • Strategic & MIS support
  • Performing project profitability analysis & taking reports for management w.r.t to client wise, leader wise, facility wise etc for strategic use.
  • Maintaining facility utilization data w.r.t to leaders & units.
  • Assessing deployment needs of the functional teams and collaborating with HR on hiring & confirmation projections for resource planning.
  • Facilitating Resourcing on functional programs by discussing with inter-depts teams & management.
  • Regular Data analysis for generation of MIS for supporting management reports.
  • Monitoring & enriching the Project detail MIS, logistics export & import daily MIS, telecon schedules, client wise MIS trackers, data analysis MIS for better & accurate data capture year on year.
  • Monitoring RFQ coordination for certain client & giving feedback to BD & management through analysis on quote conversion to business & other parameters affecting turnaround.

  • Monitoring Inventory management (internal & client based inventory)
  • Time to time reviewing inventory planning by the team for quantity & quality & placing order w.r.t to planning on lead time & budget.
  • Seeking approval or suggesting for specific packing materials/vials/bottles for process improvement or client need.
  • Monitoring effective SCM support to PM team to procure the any new type of inventory.
  • Monitoring Client specific inventory management coordination with client. Training team for managing reorders with client.
  • Facilitating Training the QC & technical team for client specific vial & tray usage. Planning the process of its physical movement from one team to another.
