Main Purpose:

Responsible for all front office and guest/facility management-related activities.

Job Responsibilities:

1. Greet visitors or callers and handle their inquiries or direct them to the appropriate persons according to their needs.

2. Operate office machines, such as photocopiers and scanners, Fax machines and personal computers.

3. Answer telephones, direct calls, and take messages.

4. Maintain and update filing, inventory, mailing, and database systems, either manually or using a computer.

5. Communicate with customers, employees, and other individuals to answer questions, disseminate or explain information, take orders, and address complaints.

6. Open, sort, and route incoming calls/mail, answer correspondence, and respond accordingly.

7. Compile, copy, sort, and file records of office activities, and other activities.

8. Compute, record, and proofread data and other information, such as records or reports on a daily basis.

9. Capture grievances received and share them with relevant departments for the solution under TAT decided by management

10. Create, maintain, and enter information into databases.

11. Deliver messages to the concerned officials.

12. Inventory and order stationery materials, supplies, and other relevant services.

13. Operate office equipment, such as fax machines, copiers, or phone systems, and arrange for repairs when equipment malfunctions.

14. Make travel & stay arrangements for office personnel and Guests

15. Organize and maintain conference room bookings at the HO office.

16. Participate in human resource initiatives run by corporate, related to training, related to talent acquisition, related to orientation, related to induction, related to engagement activities, etc.

17. Any other work assigned from time to time by the company.
