We are currently seeking an experienced professional to join our team in the role of Governance Administrator.

The Corporate Governance & Secretariat function (CG&S) serves as principal advisor to boards of directors on corporate governance matters, and leads and implements a world-class corporate governance practice throughout the Group with the provision of end-to-end corporate governance advice. CG&S provides company secretarial and governance services including:

  • Support and advice to Group Board, Principal and Material subsidiaries including meeting organisation, director’s training, evaluations and induction
  • Support and advice to LoBs, Group Functions and HOST
  • Core legal entity compliance for subsidiaries, 100 branches and representative offices across 64 countries and territories.
  • Transactional support and advice on legal and regulatory compliance across all jurisdictions including transactions, document execution, filings, capital restructuring, and asset sales

The role holder will provide administrative and business management support to the Global Head of Board Advisory, Global Head of Finance, Audit and Risk Governance, and Global Head of Policy and Stakeholder Engagement. The role holder will assist in the administration of a high volume of work and ensuring that deadlines are met. The role holder is required to deal with multiple complex enquiries at the same time, which will require a thorough and thoughtful response to be prepared, often in a time pressured environment. It will be necessary for the role holder to be highly adaptable and resilient to complex challenges. The role holder will also need to be proficient in senior stakeholder management given the close work with Senior Executives The role holderis accountable for completion of tasks which includes but not limited to:

  • Provide general administrative support to the Global Head of Board Advisory (BA), Global Head of Finance Audit and Risk Governance (FAR), and Global Head of Policy and Stakeholder Engagement (PSE)
  • Diary management such as organising schedules and making appointments
  • Arranging travel (flight, car transfer etc) and accommodation for business trips and to arrange detailed travel itineraries
  • Co-ordinating activities, events, resources, meetings, services and managing supplies where applicable
  • Processing expenses claiming, invoice / payment handling
  • Manage all aspects of HR Onboarding of new joiners for the BA, FAR and PSE teams, liaising with Customer Channels Business Manager, Recruitment teams and HR Business Partner
  • Organise and facilitate the booking of meeting rooms, conference call facilities, business travel arrangements, staff training (internal and external) courses/conferences, running of documentation workshops, ensuring all new entrants are properly set up in a timely manner etc.
  • Occasionally provide ad-hoc support to other members of the London based team by prior agreement with the line manager and dependent on time capacity and work allocation
  • Maintain HSBC internal control standards
  • Work will require quick turnaround time, involves frequent chasing and follow up
  • Must be able to coordinate between various teams across the function which includes both onshore and offshore stake holders
  • Must have good judgmental skills to balance between seeking clarification and taking ownership of the process
  • Need to be aware of the Operational Risk scenario associated with their role, and to ensure that all actions during their employment with HSBC take account of the likelihood of operational risk occurring
  • Ensure all instructions from stakeholders are actioned in an accurate and timely basis
  • Consistently maintain a high level of service
  • Effective process completion

Qualifications

  • Evidence of very good prioritizing, planning and organizing skills
  • Creative approach to problem solving
  • Proven ability to prioritize competing demands
  • Good commercial and financial management ability
  • Strong understanding of HSBC Group policies, values and businesses
  • Experience of working in a role with a proven record of senior stakeholder navigation and influencing skills
