Overview:
We are seeking a diligent and proactive Facility Assistant to join our team. The Facility Assistant will play a pivotal role in ensuring the smooth operation of our facilities, supporting various administrative and operational tasks. The ideal candidate will have previous experience in a multinational corporation and possess excellent organizational and communication skills.

Responsibilities:

  • Administrative Support:
  • Assist in managing facility-related documentation, including contracts, invoices, and correspondence.
  • Maintain accurate records of facility-related expenses and budgets.
  • Coordinate meetings and appointments related to facility management.
  • Facility Maintenance:
  • Conduct regular inspections of facilities to identify maintenance needs and address them promptly.
  • Coordinate with external vendors and contractors for facility repairs and maintenance.
  • Monitor and ensure the functionality of essential systems such as HVAC, plumbing, and electrical.
  • Health and Safety Compliance:
  • Implement and enforce health and safety protocols in accordance with regulatory requirements and company policies.
  • Conduct regular safety inspections and audits to identify potential hazards and implement corrective actions.
  • Organize safety training sessions for employees and maintain records of training completion.
  • Space Management:
  • Assist in optimizing the utilization of office space and resources.
  • Coordinate office moves, including furniture rearrangement and equipment relocation.
  • Maintain inventory of office supplies and equipment and reorder as necessary.
  • Vendor Management:
  • Act as a point of contact for external vendors and service providers.
  • Obtain quotes and negotiate contracts for facility-related services.
  • Monitor vendor performance and address any issues or concerns in a timely manner.
  • Environmental Sustainability:
  • Support initiatives to promote environmental sustainability within the workplace.
  • Implement waste reduction and recycling programs.
  • Explore opportunities for energy efficiency and cost savings.

Qualifications:

  • Bachelor’s degree in Facilities Management, Business Administration, or a related field.
  • 2-4 years of experience in facility management, preferably in a multinational corporation.
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal abilities.
  • Proficiency in Microsoft Office suite and facility management software.
  • Knowledge of health and safety regulations and environmental sustainability practices.
  • Ability to multitask and prioritize tasks effectively in a fast-paced environment.
  • Proactive attitude and ability to work independently as well as part of a team.

Job Type: Full-time

Pay: ₹20,000.00 - ₹25,000.00 per month
