Job Summary

As part of a multidisciplinary and diverse team, the Project Coordinator is responsible for day-to-day coordination and implementation of the project. Oversees recruitment and screening of participants, outreach and interview activities to support project goals, retention and follow-up, and community and clinical connections. Responsible for ensuring communication with community and clinical collaborators and fostering stakeholder relationships and functions as the point of contact to receive and convey information related to the project(s). Documents, tracks and reports of key activities; maintains an understanding of the project schedule, deliverables, and commitments; works with relevant staff on developing project actions and monitoring deliverables. Communicates project status to all stakeholders and prepares and establishes reports, briefing documents and presentations. Coordinates and schedules research-related appointments and meetings.

Supervised by and reporting to UBC faculty, the incumbent works closely with academic and clinical researchers, the Division of Social Medicine, the UBC Department of Medicine, PHC, and PHCRI support staff, CGSHE staff, trainees, peer researchers, and a variety of community stakeholders. The Project Coordinator liaises with community stakeholders to facilitate knowledge translation activities to build awareness of research and to facilitate and maintain research capacity.

ORGANIZATIONAL STATUS

Located in Vancouver, BC, the Centre for Gender and Sexual Equity (CGSHE) is a UBC and SFU-affiliated academic research centre housed at Providence Health Care (www.cgshe.ca). The CGSHE has a strategic mandate of leadership in promoting gender equity and sexual health equity through in BC, Canada and globally. The CGSHE currently consists of over 100 staff and faculty, including academic and clinical researchers, graduate students, and frontline research staff, working out of our CGSHE administrative offices and our community/clinical research hub in Vancouver’s Downtown Eastside. We work in a highly collaborative team and strive to hire members from diverse backgrounds and lived experiences.

WORK PERFORMED

Responsible for the development and operational implementation of assigned projects and initiatives. Act as a resource to project team and staff, including developing project actions, providing support, monitoring deliverables, and maintaining project timelines. Responsible for day-to-day coordination and implementation of research projects, including recruitment, informed consent, in-office and outreach interviews, and active referral to services to support project goals and ethical standards, following standard operating procedures. Assists in Qualitative data collection, analysis and drafting of research reports as needed. Responsible for acting as a liaison between AESHA cohort and qualitative research arms. Tracks project progress according to project plan, monitors and reports on the status of projects and major issues/obstacles encountered. In collaboration with the Principal Investigator, identify and support resolution to problems or barriers for successful research projects/change initiatives completion. Provides training, support, and day-to-day supervision to relevant project staff. Responsible for scheduling. Maintains an understanding of the project schedule(s), deliverables, and commitments as set out in project charters and other work plans. Executes project plan according to project methodologies, ensuring the successful and coordinated completion of project components. Communicates project status and contributes to positive working relationships with a diverse set of stakeholders, including community partners, members of communities affected by the research, government officials, policymakers, and practitioners (e.g., healthcare providers). Prepares reporting materials, including written reports, briefing documents, and presentations. Gathers and summarizes financial information related to assigned projects for submission to the Principal Investigator and funder(s), as needed. Assists in the communication of findings and development of knowledge translation materials for a wide range of audiences, and effective strategies for distribution of promotional materials. Plans and manages logistics for meetings, ranging from small team meetings to large stakeholder meetings, including preparation and delivery of materials and presentations, producing research meeting agendas, minutes, and summaries, and follow-up with relevant stakeholders. Ensures project is administered according to research protocol, standard operating procedures, communication processes, and ethical guidelines for research involving human subjects (e.g., secure data storage and transfer, confidentiality). Performs other related duties as assigned.

The incumbent will work out of CGSHE in designated, appropriate workspace at the CGSHE/ UBC Gender Research Hub and/or CGSHE Hornby St offices. Travel to communities for meetings will be required from time to time (as public health allows).

CONSEQUENCES OF ERROR/JUDGEMENT

This position works with a high degree of independence and responsibility and exercises a considerable amount of judgement. Errors in judgment could result in serious financial or reputational consequences for the Centre, undermining the Centre’s ability to meet commitments and achieve its strategic objectives, including the inability to successfully meet granting agencies’ deliverables. Inaccurate projections and forecasts could cause the Centre to make costly decisions regarding levels of investigator and staff resources and other support. Poor public/private sector relationships could result in a negative image of CGSHE / UBC and may impact levels of research funding made available through partnerships. Errors could result in significant concerns regarding the liability, credibility and integrity of the Centre, PHC/ PHCRI, and University.

SUPERVISION RECEIVED

Reports directly to the project UBC faculty lead. Works under general direction within established policies, procedures, and standards. Work reviewed against task objectives and conformity to standards.

Provides supervision and training to research staff (e.g., Interviewers, Research Assistants, and Graduate Research Assistants, ).

Minimum Qualifications

Completion of a university degree in a relevant discipline or technical program and a minimum four years of related experience or an equivalent combination of education and experience. Some positions may require a graduate degree.

Preferred Qualifications

Masters’s Degree in Public Health or Social Sciences, Sociology, Public Policy or related field, or an equivalent combination of education, training and experience. Experience or training in qualitative or mixed methods research an asset. Minimum two (2) years recent, related work experience in project coordination, research or other relevant frontline work. Community knowledge or direct experience with communities marginalized due to social and economic disadvantage. Strong gender and sexual health equity and anti-oppressive lens and knowledge and experience with underserviced populations. Experience with conflict management and supervision of diverse staff.Research experience or training is an asset. Current CPR, sexual health, or naloxone administration training an asset.Class 5 Driver’s License an asset for use of CGSHE / UBC outreach van. Excellent time management skills including the ability to prioritize work and meet deadlines. Ability to work collaboratively with other team members and ability to work independently with minimal supervision, following project AESHA – Qualitative Project Manual. Ability to communicate effectively both verbally and in writing. Excellent interpersonal skills and ability to work collaboratively with individuals at all levels internally and externally. Ability to manage multiple competing priorities and projects simultaneously in a fast-paced environment under deadlines. Demonstrated knowledge of and commitment to anti-oppression principles. Flexibility in hours and willingness to work across CGSHE/UBC offices and community to support outreach and recruitment.Ability to maintain researcher-participant confidentiality. Computer skills including experience in Microsoft Office suite (Word, Excel, PowerPoint). We are prioritizing BIPOC and LGBTQ/2S people, as well as other grounded expertise with human rights, sexual health, and reproductive justice lens.
