About the Role:

We are seeking a highly organized and presentable Operations Manager / Assistant to the Director to join our team. This pivotal role is responsible for maintaining efficient operations through effective vendor management and ensuring seamless communication within the organization. The successful candidate will be adept at balancing multiple priorities in a dynamic environment and committed to achieving excellent results.

Responsibilities:

  • Vendor Management:
  • Liaise with vendors, negotiate contracts, and ensure timely payments.
  • Maintain vendor relationships and resolve issues as they arise.
  • Cross-Functional Collaboration:
  • Facilitate communication and collaboration between different departments and teams.
  • Organize meetings and follow up on action items to ensure projects progress smoothly.
  • Scheduling and Appointments:
  • Manage the Managing Director’s calendar, scheduling meetings, appointments, and travel arrangements.
  • Prioritize and adjust schedules to optimize productivity.
  • Follow-Up Work:
  • Track and follow up on pending tasks, projects, and commitments.
  • Ensure that deadlines are met and important tasks are not overlooked.
  • Letter Writing and Communication:
  • Draft and edit professional correspondence, including letters, emails, and reports.
  • Handle phone calls and communicate on behalf of the Managing Director with professionalism.
  • Market Research and Due Diligence:
  • Conduct market research and competitor analysis as needed.
  • Assist in gathering information and conducting due diligence for various projects.
  • Legal Document Management:
  • Organize, maintain, and manage legal documents, contracts, and pleadings with meticulous attention to detail.
  • Ensure compliance with legal requirements and deadlines.
  • Collaborate with legal counsel and other professionals as required
  • Problem-Solving Expertise:
  • Provide insights and guidance on complex legal matters, offering solutions and recommendations.
  • Collaborate with legal counsel and other professionals as required.
  • Confidentiality:
  • Maintain the highest level of confidentiality when handling sensitive information and documents.
  • Operations Support:
  • Collaborate with department heads to implement operational changes and enhancements.
  • Monitor and report on key performance indicators related to operational efficiency.
  • Ensure that office resources, supplies, and equipment are well-maintained and stocked.
  • Coordinate logistics for special projects, meetings, and office events as needed.

Qualifications:

  • Proven experience as an Executive Assistant or in a similar role, preferably in a legal or corporate setting.
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal abilities.
  • Proficiency in office software, including MS Office and scheduling tools.
  • Ability to handle multiple tasks and prioritize effectively.
  • Discretion and ability to handle confidential information.
  • Problem-solving skills and the ability to think critically.
  • Flexibility and adaptability to changing priorities and situations.

Job Types: Full-time, Permanent

Pay: ₹50,000.00 - ₹85,000.00 per month
