Punctuality/Speed of Execution
  • Improve punctuality to work ensuring logging in on timely basis and be accessible during office hours
  • Respond promptly to staff who reach out for admin queries
  • Return calls/mails to stakeholders with a focus on speed of execution . Particularly focus on queries from team leads.
  • Notify manager and have an OOO message set in Outlook when unexpectedly away during the working hours

Interviews Scheduling

  • Schedule interviews promptly notifying the hiring manager
  • Reach out for interview feedback and proactively discuss the next steps with the hiring manager
  • Schedule next rounds promptly. If there are delays, communicate the reasons to hiring managers

Events Management

  • Arrange the logistics for team-wide activities (e.g. grads orientation program, diversity events etc) in a timely manner

Calendar Management

  • Ensure regular catch ups do not fall off the calendar
  • Avoid bookings with conflicts
  • Plan buffer prior and after meetings with senior stakeholders

Expense Management

  • Ensure there are no Amex delinquencies
  • Proactively deal with Accounts payable to resolve issues
  • Proactively follow up on pending claims and expenses
  • Submit error free reports/documents to avoid re-raising of expenses and claims which lead to unnecessary delays

Miscellaneous

  • New Hire access management/ Co-ordination - Working with the access management team to get the New hire accesses raised and kept ready before joining
  • Smart Access - Floor access management, recertification, New hire access card support
  • Floor seating and locker management: Address any seating related queries and GRE related queries - Floor/building related queries
