Primary Responsibilities
  • Participates and co-leads in the Go/No Go Process with the Proposal Director and Opportunity Sponsor.
  • Collaborates with consultants to drive the proposal/tender preparation process. Directs and/or participates in all aspects of proposal/tender preparation including the development and collection of materials (project job descriptions, resumes), technical writing, graphics, document editing, content review, printing, and final document assembly.
  • Mentors and coaches proposal/marketing staff and administrative staff on aspects of successful development of proposals and other marketing materials.
  • Creates/co-creates best practices to help benefit the proposal/tender team.
  • Coordinates and manages proposal assignments of local administrative staff who are collaborating on any support functions of the proposal.
  • Responsible for the quality and consistency of the Company’s professional image in all client communications, proposals, and collateral material.
  • Support marketing and business development activities, from client and opportunity research to pursuit management, to proposal development.
  • Demonstrate self-initiative, positive team attitude, technical quality and creativity, and ability to successfully juggle multiple deadline-driven proposals and other tasks.
Specific Responsibilities
  • Proposal Management: Prepares formal plans for responding to large and complex RFPs. Leads the proposal team throughout the proposal process. Collaborates with consultants including subject matter experts to develop themes, strategies, outlines, budgets, and work schedules. Assembles proposal teams and administrative resources, when needed. Uses various technologies to assure high-quality, finished product, completed and delivered to the client on schedule.
  • Presentations: Helps pursuit team in developing a compelling message; facilitates presentation strategy meetings. Designs presentation plan (PowerPoint) with technical team (outline, concepts, media, etc.). Researches/develops content for slides (company information, services, experience). Develops graphics to present information visually/data conceptually. Manages internal schedule, team assignments, and electronic files of overall presentation to meet client schedule. Facilitates dry runs with presentation team; provides input to improve quality. Oversees handout production and equipment coordination.
  • Integrated Marketing Communications: Delivers consistent marketing strategies across multiple channels resulting in cohesive brand delivery via go-to-market campaigns and initiatives.
  • Value Proposition Development: Creates value through creative messaging and language to be utilized in client interactions, marketing events or collateral.
  • Cultural Awareness: Ability to adjust to address cultural differences and needs; create marketing messages for global initiatives and across regions.
  • Branding Compliance: Provide guidance and address situations to assure compliance to brand use, internally and externally.
  • Industry Knowledge: Understand broad sector issues and be fluent in company’s services and changing priorities; ability to speak broadly about our solutions in the marketplace.
  • Branding: Ensures compliance with company image, signature standards, approval levels, and guidelines.
  • Marketing Database/Salesforce Updating: Creates, maintains, and manages a database of marketing material on SharePoint/Marketing Server, project experience, staff resumes, and other information required for proposal activities such as boilerplate information.
  • Special Assignments: May organize local client events or tradeshow participation.
Education

Minimum Requirements:
  • Bachelor’s degree in Marketing, Business, or related field from an accredited college or university or demonstrated equivalent.
Experience
  • 7-10+ years of experience in Proposal Management at a professional services firm
  • Experience with proposal preparation and management
  • Extensive experience with MS Office Products (Outlook, Word, Excel, PowerPoint)
  • Experience with Graphics, Adobe Creative Suite, and SharePoint, a plus
  • Experience with Salesforce or another equivalent CRM database
Job Requirements
  • Experience in environmental or business consulting or architecture and/or engineering firm.
  • A self-starter who can coordinate and manage multiple projects with minimal supervision.
  • Strong communication skills (verbal and written).
  • Bi-lingual language skills a plus.
  • Strong Organizational, writing/researching/editing, and time management skills in order to juggle multiple proposals/tasks with differing deadlines.
