Position - Executive Assistant/Personal Assistant to Managing DirectorJob Location - Ludhiana PunjabGender - MaleDepartment - AdminReports To: Managing DirectorJob Summary -Executive Assistant/Personal Assistant (EA/PA) to provide comprehensive support to our Managing Director. The ideal candidate will possess exceptional organizational, communication, and multitasking skills, along with the ability to maintain confidentiality and handle sensitive information. The EA/PA will be responsible for managing the Managing Director’s schedule, coordinating meetings, handling correspondence, and assisting with various administrative tasks to ensure the efficient operation of the executive office.Key ResponsibilitiesCalendar Management:Manage the Managing Director’s calendar, schedule appointments, and prioritize meetings and events.Coordinate travel arrangements, including booking flights, hotels, and transportation as needed.Ensure the Managing Director is well-prepared for meetings and appointments by providing necessary materials and information in advance.CommunicationAct as the primary point of contact for internal and external stakeholders seeking access to the Managing Director.Screen and prioritize incoming emails, phone calls, and other correspondence, and respond on behalf of the Managing Director when appropriate.Draft and edit documents, reports, presentations, and other communications as requested.Meeting CoordinationOrganize and coordinate meetings, conferences, and special events, both on-site and off-site.Prepare meeting agendas, take minutes, and distribute follow-up actions as necessary.Ensure meeting rooms are set up and equipped with necessary materials and technology.Administrative SupportAssist in the preparation of reports, presentations, and proposals.Manage expense reports and reimbursements for the Managing Director.Maintain and update confidential files and records as required.Handle confidential information and documents with discretion and professionalism.Travel PlanningArrange domestic and international travel itineraries for the Managing Director.Provide detailed travel packets, including flight information, accommodation details, and meeting schedules.Assist with visa applications and other travel-related documents as needed.Special ProjectsAssist with special projects and initiatives as assigned by the Managing Director.Conduct research and compile data to support decision-making processes.QualificationsBachelor’s degree or equivalent work experience
