Integrated Facilities Management – Corporate Solutions (region/country)

What this job involves:
Facilities Operations
Transport Uptime Management : Maintaining 100% on time arrival & on time departure of cabs
Safety : Ensuring 100% Employee safety
Transport Utilization to be maximum
Compliance Management : Adherence to 100% vehicle compliance (Vehicle documentation, Drivers documentation, Cab maintenance documentation & transport vehicle compliance)
Driver Briefing Session : Weekly Driver Briefing Session needs to be conducted
Reports & MIS management : Data needs to be capture for report generation such as but not limiting to Roster management, no show, OTA & OTD report any additional Adhoc reports
Back up : Backup for Shift executive if someone is on leave
This includes managing budgets, organising schedules & routes, ensuring that vehicles are safe and meet legal requirements, and making sure that drivers are aware of their duties.
Ensuring that the roster is prepared on time
Managing and supervising the Transport executives’ activities
Preparing monthly/weekly/daily reports
Be accessible for escalation of all transport related issues
Carrying out routine vehicle inspections
Providing advice to helpdesk operators on escalated issues
Incident reporting and management
Handling transport emergencies
Ensure all female staff is given security escort post 20:00 hours till 06:00 hours
Strategic Planning
  • Strategic review of service, Technical services and supply contracts to determine value for the across the sites Renegotiation and tendering where necessary in accordance with contract
Compliance Management: -
Follow up with Vendor partners for timely submission of compliance document; ensure the services are imparted as per compliance
Occupant Services
Ensuring quality occupant service. Specific duties may include:
  • Ensure that the team closely liaises with the Technical operations team to ensure service standards are maintained
  • Evaluating service response time and analysing occupant service request trends and suggestions
  • Ensure feedback from client sessions is recorded and auctioned to the satisfaction of the end user.
  • Recommending continuous quality improvement practices across the sites.
  • To co-ordinate and monitoring the contractor management program
Financial Performance:
  • Develop initiatives and strategies that lead to cost savings and eventual profitability of the account. Contribute to global initiatives and take a leading role as required.
Track AP/AR, Vendor invoices, NDC’
  • To lead by example and groom the team in achieving maximum client satisfaction level
Reporting:
  • Ensure and complete periodic reporting to meet client expectations and internal requirements as per regional standard.
  • Ensure that the team delivers meaningful inputs across the region in the development of monthly management reports.
Leadership / Staff Management:
  • Actively encourage an environment that supports teamwork, co-operation & performance excellence across the site within the account team
  • Act as manager and a coach for the team ensuring high staff morale, trust and work ethics.
  • As part of the senior management team, ensure there is total teamwork across the across various functions
Leading on-site operations
Are you a pro at giving on-site support? Working with a team, you’ll oversee the day-to-day client activities for the assigned property or facility. You’ll also implement building procedures and performance measures—and ensure that they are maintained at all times. Likewise, you’ll boost on-site operations by promoting best practices and creating better processes. This job will also entail the question “How do I ensure the safety of my colleagues?” You will do this by promoting adherence to health and safety standards.
Winning our clients’ trust
As the Assistant Manager Transport you’ll be working frequently with clients, so you’ll need to build strong relationships with them. Likewise, you’ll need to be proactive and engaging; and make sure that the clients’ expectations are met each and every time. You will also be the go-to person for any facilities-related concerns.
Keeping an eye on budget and contracts
Do you have a solid background in finance management? As the person in charge, you will take care of the site’s financial operations. Also part of your job is to coordinate with vendors and suppliers, and make sure that they deliver quality work practices according to the contract, and at the right cost.

Competent and goal-driven
Do you have three to five years’ experience of managing a property? If so, you will be a perfect fit for the role. Likewise, an experience in managing commercial contracts and budgets may just help you land this job. You’ll also need to be a goal-oriented individual who’s an ace in health and safety requirements, vendor management and property technical systems management
Organised and analytical
