Position Summary

The position will serve continuity of Operations Activities. Primary responsibility is to plan all personnel movements related to offshore mobilisation and demobilization from various client ports. Given the nature of client vessel mobilization/demobilization, it is key to be available out with normally working hours. All Associated site travel requirements to be arranged during mobilization and demobilization (when expiring) (Medicals, BOSIETS, Security Passes, Client site passes). Liaise with HR department to ensure compliance with company procedures and assist with local requirements such as recruitment.

Duties Responsibilities
  • Arrange travel to and from ports during mobilisations and demobilisations.
  • Arrange travel for personnel attending Training, Induction, Competency Checks to different sites/centers.
  • Arrange travels to Medicals, visa processing, Inductions, HSE and Site Requirements.
  • Verify all taxi receipts against mobilization/demobilization plans and maintain transport register.
  • Arrange Accommodation at staff house for all personnel.
  • Coordinate with HR Dubai and Operations Manager for all site staff recruitment and raise RAF/NHF.
  • Update HR Dubai with inter region movements of personnel to ensure contract agreement are updated.
  • Update HR Dubai with any leavers from permanent and Ad-Hoc projects.
  • Apply gate passes for technicians whenever required.
  • Request flight and hotel booking for personnel whenever required during mobilization/demobilization.
  • Prepare Passports of Technician, Receive Passports for safekeeping maintain log register.
  • Assist operations department with other duties as required.
  • Raise purchase requisitions for purchases and suppliers/vendor services to satisfy projects

  • Undertake specific projects as instructed by management
  • Ensure that the Safety policies and procedures are understood and adhered to so far as is reasonably practicable in order to ensure a safe working environment. Promote a strong HSE culture at all times Carry out work in accordance with the Company Health, Safety, Environmental and Quality Systems. Perform the assigned tasks with due diligence regarding the Integrated Management Systems on the Company. Eliminate waste of whatever form, to suggest the use of more environmentally friendly substances and practices and contribute to the continuous improvement of the environment.

Supervisory Responsibilities

  • This position has NO direct supervisory responsibilities.
  • Controls project drivers movements and daily communications on planning and task execution
  • Controls office boy in main office and housekeepers at staff villa for task execution
Qualifications

Qualifications Experience

  • Degree qualified

EXPERIENCE REQUIRED

  • Minimum 5 years experience in Administration, Planning, Organizing. Preferably within the oil and gas services industry or similar service.
  • Communicate to drivers and villa staff out of hours and weekends.
  • Manage own daily work load around project team requirements
  • Microsoft Word/Excel/email proficient user

This position is considered Office based which is characterized as follows.

  • Almost exclusively indoors stable work surface
  • Occasional exposure to airbourne dust in the work environment , Mussafah base is in industrial zone
